Enhance Your Team’s Efficiency with User Roles

At Transportly, we are committed to helping your business run more efficiently. To further this mission, we’re excited to introduce User Roles—a powerful new feature designed to streamline team workflows, enhance security, and boost overall productivity. By assigning specific roles within your workspace, you ensure that each team member has the right level of access, reducing errors and optimizing efficiency.

What Are User Roles?

User Roles give businesses precise control over who can access and perform specific tasks within their workspace. This feature is especially valuable for organizations with teams working in different roles, departments, or locations. By assigning appropriate roles, companies can prevent unauthorized changes, minimize errors, and save valuable time by ensuring team members only see and interact with the data relevant to their responsibilities.

The Four Key User Roles

To accommodate a variety of business needs, 4Shipper offers four distinct user roles:

  • Admin – Grants full access to all workspace data and settings. Admins can modify configurations, manage users, and oversee all activities. Ideal for company owners, senior managers, or IT administrators.
  • Regular User: Can create and edit Carriers, Requests, Addresses, and Transports, but cannot delete data, change workspace settings, or invite new users. This ensures a controlled yet flexible workflow.
  • Viewer: Has read-only access to all workspace data. Viewers can see information but cannot make any modifications.
  • Contributor: Can create draft requests but cannot send them to carriers. This ensures all submissions go through proper review before being finalized, maintaining workflow integrity.

How to Assign User Roles

Managing user permissions in your 4Shipper workspace is simple and intuitive. Just follow these steps:

  1. Go to your 4Shipper workspace settings.
  2. Select an existing user or invite a new team member.
  3. Assign the appropriate role based on their responsibilities.
  4. Save changes and notify the team member of their assigned role.

That’s it! With just a few clicks, you can ensure the right people have the right level of access.

Why User Roles Matter

Implementing User Roles in your workspace brings several key benefits:

  • Enhanced Security: Restrict access to sensitive data, ensuring that only authorized personnel can make critical changes.
  • Streamlined Workflows: Clearly defined roles help eliminate bottlenecks and boost operational efficiency.
  • Improved Collaboration: Team members can focus on their tasks without unnecessary interference, fostering seamless teamwork.
  • Error Reduction: Limiting access to relevant data minimizes the risk of accidental modifications and ensures data integrity.

By leveraging User Roles, businesses can create a structured, organized work environment—leading to greater efficiency, security, and productivity. read this interesting case study on user management
